Privacy Policy
How Team Perspective collects, uses and protects your data.
Last updated November 2026
Who we are
Team Perspective is operated by TEAMPERSPECTIVE LIMITED, registered in Ireland (no. 828644), Hawthorn, Drishane Beg, Killeagh, Co.Cork P36NW44 ("we", "us"). We run the Team Perspective platform at teamperspective.ie, which lets teams collect honest, anonymous feedback from their members.
For the account details described below we are the data controller. Where a club or organisation invites you to take part, we also process your information on its behalf to run its perspectives. Questions about privacy can be sent to privacy@teamperspective.ie.
Information we collect
- Your account: your name, email address, the team you belong to and your role on it, and when you last logged in.
- Access requests: if you ask to set up a team, we ask for your name, email, team and organisation name, and optionally a phone number.
- Your answers: the answers you give to a perspective, in the two forms described under “How your answers stay anonymous”, and a record that you completed it.
- Reviews: if a manager asks you to review a draft perspective, your approval or requested changes and any comments you write are attached to your name.
- Our mailing list: if you subscribe, your name and email address.
- Technical information: your IP address and email address are kept for up to a day when you ask for a sign-in link, so we can limit repeated requests. Our hosting provider also keeps normal server logs.
We use one cookie, to keep you logged in. We don't use advertising or analytics trackers.
How we use your information
- To provide the service: setting up teams, inviting people, running perspectives and showing results. This is necessary to provide the service you or your team have asked for.
- To email you about it: sign-in links, invitations, reminders, and updates about perspectives you are part of. These are part of the service.
- To keep the platform secure and prevent abuse, which is in our legitimate interest and yours.
- To send our mailing list, but only if you subscribed. You can ask us to remove you at any time.
- To meet our legal obligations.
We don't sell your information or use it for advertising.
How your answers stay anonymous
Anonymity is the point of Team Perspective, so we want to be exact about how it works and where its limits are.
- Your answers are saved in two places. One is an anonymous copy with no name or account attached, which is what results are built from. The other is a personal copy tied to your account, so that you can look back at what you submitted. Only you can see your personal copy in the app.
- Managers and admins can see whether you have completed a perspective, so they know who to remind, but never what you answered. Results are only shown in aggregate: averages, breakdowns of choices, and written comments with no names attached, and only after the perspective has closed.
- A perspective can only be sent to a minimum number of people, because in a very small group answers are easier to guess.
- Written comments are shown as typed. If you name yourself or describe something only you could know, people may work out who wrote it, so write them with that in mind.
- The people who run the platform need technical access to the database to keep it working. We do not look at individual answers, and we only access them if the law requires or to fix a fault, never to identify who said what.
Who can see your information
Managers can see their team's members (names, emails, roles and login status) and who has completed each perspective. Admins, who are our staff, can see the same across every team. People asked to review a draft perspective can see the draft and each other's review comments.
Nobody can see individual answers. Aggregated results are shown to the people your team's settings allow, once a perspective has closed.
Companies that help us run the service
We share information only with the providers needed to run the platform:
- Microsoft Azure, in its Dublin (North Europe) data centre, hosts the platform and its database. Microsoft 365 handles our email inboxes, including mail you send to us.
- Resend sends the emails the platform produces. It receives your name, email address and the team or perspective name, for that purpose only. We use its Irish (EU) region.
- Anthropic, a US company, produces optional theme summaries of written comments when a manager asks for an AI summary. Only the text of the anonymous comments is sent. No names, email addresses or account details are included. An admin can turn AI summaries off, in which case comments are grouped by frequency instead and nothing is sent.
Where a provider is outside the European Economic Area, as Anthropic is, we rely on safeguards recognised under data protection law, such as standard contractual clauses, to protect your information.
Where your data is stored
Your team's data, including the database and its backups, is stored in Microsoft's data centres in Ireland.
How long we keep your data
- Account and team data: for as long as your team uses the platform, or until you ask us to erase it.
- Sign-in links and sessions: sign-in links expire after 15 minutes and are deleted within a day. Login sessions last up to 30 days (7 for admins) or until you log out.
- Sign-in request records (email and IP address): deleted within a day.
- Backups: database backups are kept for 7 days and then deleted. If you ask for erasure, your data leaves the live system straight away and drops out of backups within that period.
- Mailing list: until you ask us to remove you.
Your rights
Under data protection law you have the right to access the information we hold about you, to have it corrected or erased, to restrict or object to how we use it, to receive a copy in a portable format, and to withdraw consent where we rely on it. To use any of these, email privacy@teamperspective.ie, or ask your team manager to pass the request on. We will reply within one month.
Erasing your data removes your account and every record that holds your name or email address: team memberships, invitations, access requests, mailing list entries, your record of completing perspectives, and your personal copy of your answers. Comments and review decisions you made are removed or no longer name you.
The anonymous copy of your answers can't be traced back to you, so it stays in your team's overall results. Anything you created, such as a team or a perspective, stays but no longer names you.
If you are unhappy with how we handle your information, you can complain to the Irish Data Protection Commission at dataprotection.ie. We would appreciate the chance to put things right first.
How we protect your data
- Everything is sent over encrypted connections, and the database is encrypted and accepts only encrypted connections.
- Sign-in links and passwords are stored only in protected form: passwords are hashed and links are stored as one-way fingerprints, so we can't read either.
- The platform connects to the database with an account that can read and write your data but can't change its structure.
- Admin accounts require a password, and access is limited to our staff.
No system is perfectly secure, but we take care to protect your information and will tell you if there is a breach affecting you.
Children
Team Perspective is built for adult teams and isn't aimed at children. Some teams include members under 18, such as a 16 or 17-year-old on a senior panel. In that case the team's manager is responsible for making sure a parent or guardian is happy for them to take part.
Apart from that, we don't knowingly collect information from children. If you think a child has joined without that agreement, contact us and we will remove their information.
Changes to this policy
If we change this policy in a way that matters, we will update the date at the top and tell you through the platform or by email.
